Do you ever feel like there are never enough hours in the day to get everything done? 

The common notion that more hours equals more productivity simply isn’t true, which is why it’s important to find ways to get things done faster and smarter. Here are some tips to help you get more done in less time so you can spend less time working and more time living your life.

1. Avoid Unnecessary Multitasking

It may seem painfully obvious, but multitasking has been shown to increase stress and cause you to make mistakes. When you’re trying to accomplish multiple tasks at once, you’re prone to fumbling deadlines and crucial tasks because you don’t have your full attention on each. If you want your workday to go more smoothly and be more productive, focus on one task at a time. You can always multitask during breaks or downtime throughout your day. Just try not to mix high-priority tasks with low-priority ones when it comes to doing something important. This will ensure that you get everything done quickly and effectively.

2. Plan Your Day

Set aside 20 minutes before you start work to plan your day. Do you have meetings or appointments? Create a calendar invite and send it out so that all participants are aware of its date and time. Next, outline what tasks need to be completed for each project on your list. You can do a brain dump (write down everything that comes to mind), schedule each item on your list, add deadlines, or delegate tasks. 

The more organized you are from day one, the less likely you’ll waste time redoing things or making last-minute revisions – and guess what? Everyone will like their jobs just a little bit more when they’re not running around at 11 PM trying to find out what needs doing tomorrow morning! When scheduling, always remember to be realistic about how much time something will take. Some items may take longer than expected if you haven’t properly prepared. Schedule those as pending items until you know how long they’ll take to complete and make sure nothing else gets scheduled in while they’re pending.

3. Set Goals and Reminders

To-do lists are great, and they only get you so far. It’s easy to look at your list and be overwhelmed by all of it – how will you possibly get through all that? Setting small goals throughout your day can help you finish projects faster. For example, schedule time for a task rather than making an open-ended promise about completing it later. If something doesn’t have to be done right away, schedule time for it on your calendar instead of promising yourself you’ll work on it later. 

By adding a reminder and deadline, you’re setting yourself up for success. This way, if you don’t get around to it, there won’t be any guilt because you already told yourself when and where you would do it. This trick also works well with meetings or conference calls – instead of saying you’ll let them know you can’t make it! just add it to your calendar as soon as someone asks you out. Now is a good time to set reminders for tasks like reviewing emails or checking voicemails. These little reminders keep important tasks from falling through the cracks and make sure you don’t waste valuable time scrambling around looking for what you need when you need it most.

4. Track Your Time

Track your time and you’ll better understand how much time you’re devoting to individual tasks. This is useful for a few reasons: it can help you focus on important activities, it can help you adjust your schedule so that you don’t fall behind, and – perhaps most importantly – it helps clarify what tasks are worth doing (and which aren’t). When you have more information, you tend to make better decisions

To track your time today and see if certain activities can be eliminated or adjusted so they take up less of your day. You might be surprised by what you find. 5. Keep Things Simple

Start by defining your project. This will allow you to break down large projects into smaller, more manageable chunks of work. Keep things as simple as possible and make sure not to over-complicate your plans. Remember, there’s a difference between organizing and complicating! Don’t get too caught up in analyzing every detail of your project; that can be done later, once you have an initial plan set. If you try to do everything at once, chances are good that nothing will get done at all. 

Once you have a clear picture of what needs to be accomplished, take action immediately – don’t put it off for another day or another week, or another month. You won’t regret getting started right away – you may regret putting it off until tomorrow if something comes up and prevents you from getting started today. It’s always better to start sooner than later when it comes to completing tasks and projects. Also remember: procrastination is not productivity – so don’t confuse one with the other!

Maybe you aren’t working hard enough. You could be doing a great job of focusing on what’s important, but you’re not being disciplined about how you spend your time. Regardless of what has caused it, if your workday is disappearing before your eyes and there just doesn’t seem to be enough hours left at night, some strategies can help you get more done with fewer hours spent at work.
